Job Description
We are seeking a highly organized and detail-oriented Event Coordinator to support the Director of Events in the planning, coordination, and execution of events across multiple outlets and banquet spaces. This role is primarily focused on event administration, internal coordination, and operational execution — ensuring seamless communication between departments and an exceptional guest experience.
Position SummaryThe Event Coordinator provides administrative support and ensures all event details are accurately documented, communicated, and executed.
Key ResponsibilitiesAdministrative SupportProvide direct administrative support to the Director of Events
Prepare and distribute contracts, Banquet Event Orders (BEOs) and related documentation
Maintain accurate client files, event records, and internal systems
Manage calendars, schedule client meetings, and coordinate site tours
Assist with deposit tracking, billing review, and final invoicing coordination
Maintain accurate reporting and event documentation
Respond to client inquiries in a timely and professional manner
Coordinate event details across all F&B outlets
Ensure clear communication of event timelines, menu selections, room setups, beverage packages, and special requests
Participate in BEO meetings and ensure accurate distribution of finalized event documents
Support on-site event execution to ensure operational alignment and service standards are met
Monitor event logistics and assist with problem-solving during live events
Ensure all departments are fully informed of event details and last-minute updates
1–2 years of experience in hotel events, catering, or Food & Beverage operations preferred
Experience in a multi-outlet hotel or high-volume restaurant environment strongly preferred
Strong understanding of banquet operations and restaurant service flow
Proficiency in Google Suite and hotel sales/catering systems (Tripleseat, OpenTable, Micros; Adobe and Canva knowledge a plus)
Ability to work flexible schedules, including evenings, weekends, and holidays
